Self-hosting cost guide
Deploying AllerEasy yourself? Here's what to expect from common platforms. These are third-party costs — AllerEasy itself is always free.
Railway
Generous free tier that suits low-traffic deployments. PostgreSQL included. Simple GitHub-based deploys with minimal configuration.
railway.app →Render
Free tier available for low-traffic use. Paid plans from ~£7/month for always-on services. PostgreSQL as an add-on. Similar workflow to Heroku.
render.com →Heroku
No free tier, but the most polished deployment experience. AllerEasy includes a ready-made Procfile for Heroku. PostgreSQL add-on billed separately.
heroku.com →VPS (DigitalOcean / Hetzner)
Full control, lowest ongoing cost. Requires more technical setup — comfortable for developers. PostgreSQL runs on the same server, no separate database cost.
digitalocean.com →On the roadmap
Features planned for future paid tiers. Register your interest and we'll let you know when they're available — and your feedback shapes what we build first.
Supplier & ingredient import
Import ingredient-level allergen data from supplier spec sheets or product exports. Automatically populate dish allergen fields from source data — cutting manual entry for large or frequently changing menus.
Register interestBarcode & PLU lookup
Scan a product barcode and pull allergen and nutrition data automatically from a product database. Ideal for operations using packaged or pre-prepared ingredients who want to eliminate manual allergen data entry.
Register interestCommon questions
Is the free version really free — no catch?
Yes. The core AllerEasy app is released under the GPL v3 licence and will always be free to download and self-host. The paid plans cover managed hosting and premium features that require ongoing infrastructure on our end — not access to the basic functionality.
What's the difference between self-hosting and a managed plan?
With self-hosting, you deploy AllerEasy on your own hosting account and manage it yourself. With a managed plan, we handle the server, updates, backups, and uptime — you just log in and manage your menu. Managed plans also include premium features not in the open-source version.
Can I start on the free plan and upgrade later?
Absolutely. Many businesses start by self-hosting to evaluate the system, then move to a managed plan when they want premium features or prefer not to handle maintenance themselves. Get in touch and we can discuss the migration.
What does the £249 setup service include?
We handle the full technical setup — deploying the app, configuring the database, importing your existing menu data, applying your branding, and handing over a fully working system. We then do a walkthrough so you can manage everything going forward, and provide 30 days of follow-up support.
Do managed plans include the setup service?
The £249 one-off service is primarily for self-hosted deployments. If you're signing up for a managed plan (Pro, Business, Enterprise), initial configuration is included as part of onboarding — get in touch and we'll confirm what's covered for your setup.
Are there contracts or minimum terms?
No long-term contracts. Pro and Business plans are monthly and can be cancelled at any time. Enterprise arrangements are discussed individually based on scope.
What does GPL v3 mean for my business?
GPL v3 means you can use, modify, and deploy AllerEasy freely. If you publicly distribute a modified version, you must also open-source your modifications under GPL v3. Running AllerEasy privately or as a hosted service does not trigger this — it only applies if you distribute the software itself. For most hospitality businesses, the licence has no practical implications at all.
Not sure which option is right for you?
Get in touch — we'll help you find the right fit, whether that's pointing you at the GitHub README or talking through a managed plan for your operation.
